Texas A&M University supports the use of flexible work arrangements in certain circumstances where it is consistent with the efficient operation of university campuses and the effective delivery of services to students, campus clientele, and the public. Flexible work arrangements include partially remote or fully remote alternate work location (AWL) agreements and flexible work schedules. While any university employee may request an AWL arrangement, not all positions may be suited for partially or fully remote work. Faculty AWL arrangements must be administered in accordance with University Standard Administrative Procedure (SAP) 33.06.01.M0.02, Alternate Work Location – Faculty which governs AWL arrangements for faculty employees. Note, colleges and/or departments must develop internal AWL guidelines as specified in the SAP.
A faculty employee initiates a request for an AWL arrangement within the United States by submitting an “Alternate Work Location (AWL) Request Form for Faculty Employees” through the appropriate chain of authority to the final approver, Vice Provost for Faculty Affairs (VPFA), as shown in the below flowchart. AWL arrangement provisions are contingent on approval and should not be considered an employee entitlement.

Routing Approval Steps for Faculty AWL
- Following review of University SAP 33.06.01.M0.02, Alternate Work Location – Faculty, a faculty employee initiates a request for an AWL arrangement by submitting an “Alternate Work Location (AWL) Request Form for Faculty Employees” to their department head (or dean as appropriate). Note, faculty employee AWL requests are not requested through Workday.
- Upon receipt of the AWL request form, the department head (or dean as appropriate) is required to meet with the faculty employee to discuss prior to rendering a decision on the AWL request.
- If, after review and meeting with the faculty employee, the department head and/or dean approve, the AWL request form is routed by the dean for final approval to Faculty Affairs via Adobe Sign. (See Instructions for Requesting VPFA Electronic Signature & Approval Using Adobe Sign.)
- If, after review, the VPFA approves the AWL request form in Adobe Sign, a copy of the approved AWL request form will be sent from Adobe Sign via email to the requesting college/school and to TAMU Sponsored Research Services (awards@tamu.edu). If the AWL location is out-of-state, the approved AWL request form will also be sent to TAMU Tax Compliance and Reporting (tax@tamu.edu).
- If approval is received through the AWL request form to work out-of-state, the faculty employee is responsible for updating their work contact information in Workday. (For instructions on how to update personal and employment information in Workday go to https://employees.tamu.edu/employees/update-info.html.)
